Landing times do not equal meeting times
Different passengers can clear formalities at different speeds. A late suitcase, missed connection or aircraft delay can separate arrivals that looked close on the itinerary. Share the full flight details and agree whether the first guests are prepared to wait. The booking team should state when its waiting clock begins and what extra time costs.
Choose one group contact
Give the dispatcher a reachable lead contact and a backup if appropriate. Tell each traveller the agreed public meeting point and how to identify the booked provider. Avoid splitting into different vehicles simply because one group member receives an unrelated offer outside arrivals.
When separate rides are simpler
Consider separate transfers when flights land far apart, some guests need to reach accommodation promptly, or delays would create long waiting. Ask for both options using the same passenger and luggage details. A combined party can also need a larger vehicle, so one car is not automatically the lower total.
Several hotels need a stop plan
List the hotels and passenger split if the group is not staying together. Agree the order and full price rather than treating extra receptions as included. Keep return flight planning separate: travellers who arrived together can still depart on different dates or need different airport arrival times.
